Getting your contacts to sync between your phone, the cloud and your desktop can be very confusing/frustrating.

There are options to import & export (one time or periodically). There are options to sync (continuously?)

What is iCloud Contacts?  Import & Export & Sync

"You can keep your contacts organized and easy to find using Contacts on iCloud. Changes you make appear automatically wherever you set up iCloud for Contacts. You never have to connect your device to your computer to keep your contacts current.

On iPhone, iPad, iPod touch, or Mac: Changes appear in the Contacts app.

On Windows: Changes appear in Microsoft Outlook.

Resolve or delete duplicate contacts in Outlook - from Outlook Help

If you've imported contacts from multiple sources or inherited someone else's contact list, you might have duplicate contacts stored in Outlook. When you import new contacts from an external source like iCloud or Gmail, Outlook checks for duplicates and lets you choose whether to create a new contact record (a duplicate) or merge the duplicate contacts. Unfortunately, once you have duplicate contacts in your contact folders, there is no automated process to remove them. However, you can export all of your contacts to a file, then re-import them into Outlook and take advantage of the built-in duplicate checking features. If you only have a couple of duplicate contacts, you can sort your contact list and delete them manually.

How to Delete a large number of duplicate contacts by using export and import

If you have a large number of duplicate contacts, deleting the duplicates one by one can be tedious and time-consuming. The fastest way to delete a large number of duplicate contacts is to export them to a file, then import them into a new folder. To take advantage of the duplicate detection feature in Outlook's import process, use the following steps

  1. Click People.
  2. Right-click on your current Contacts folder and select New Folder.
  3. Give your new folder a name, for example Duplicates.
  4. Click back into your main Contacts folder.
  5. Press Ctrl+A to select all of your contacts.
  6. Either drag and drop your contacts into the Duplicates folder or use Ctrl+Shift+V to open the Move to Folder dialog and select your Duplicates folder.
  7. Your primary contacts folder should now be empty.
  8. Select File > Open & Export > Import/Export. - Note: In Outlook 2010, select File > Open > Export and skip to step 10.
  9. Select Export to a File.
  10. Select Comma Separated Values - CSV file (Windows).
  11. Select the Duplicates folder you created in Step 3.
  12. Save the file somewhere you'll be able to find it again.
  13. Click Finish.
  14. Open the CSV file in Excel, review the items, make edits and remove duplicates using  Excel tools as needed. Save the revised CSV file.

NEXT - Import your contacts back into Outlook

  1. Select File > Open & Export > Import/Export.
  2. Select Import from another program or file.
  3. Select Comma Separated Values (Windows).
  4. Browse to find the file you created in the procedure above.
  5. Select the option Do not import duplicate items.
  6. Choose your main Contacts folder as the destination folder. This is the folder that is currently empty.
  7. Select Finish - now the main Contacts should be in good shape with no duplicates.

Jan 7, 2018 #2 Yes, they changed the limit a year or so ago when Outlook.com moved to Office 365 hosting. It's now on Exchange server and subject to Exchange limits. You can theoretically have an unlimited number of contacts, but practical limit is somewhere between 10,000 and 20,000 or so, only because the more you have, accessing the folder is slower. The limit is based on your patience. :)

Notes are basically unlimited - there probably is a limit, but it is huge, probably based on file size, not character count. Bigger = slower syncing, plus smartphone apps may have a limit to the number they can display.

Your mailbox quota will affect the total size of your mailbox, which can affect the # of contacts your mailbox supports - if you have an office 365 personal or home subscription, you'll have a 50 gb mailbox if you use an outook.com address. non-subscribers have 5GB.
